Summary of Virtual Meeting, November 10, 2011

Present: Erin Blake, Ellen Cordes, James Eason, Marcy Flynn, Mary Mundy, Lenore Rouse, Helena Zinkham

Archival description

  • Defined “Archival description” for glossary; agreed it was appropriate not to have it parallel “Bibliographic description” exactly (i.e., the part about where the description begins and ends) b/c Bibliographic description is rooted in ISBD; re-confirmed that access points are not part of the archival description (or the bibliographic description) -- they’re the pointers that get you to the description (i.e., even though we think of the entire finding aid as an archival description, technically it’s an archival description plus access points)

Formatting of "examples" appendix

  • it’s preferable to use the “footnote” style of Graphic Materials (where the entire record is given, then the relevant rules, keyed numerically, rather than giving the relevant rule after each segment of the example) b/c it’s desireable to have uninterrupted examples for people who just want to see what a record looks like, and it lets people jump more easily to the part of the record they’re wondering about
  • like Graphic Materials, but unlike Examples to Accompany DCRM(B), won’t name every applicable rule. This isn’t a stand-alone publication.
  • will give rule number plus heading and/or enough text to name the rule rather than citing the entire rule (b/c the appendix will be part of the text: users will flip pages or click links to get to the rule)
  • each example should have a heading to say what’s important about it (i.e. why it was picked as an example)
  • provide examples in MARC only, not ISBD “card” style
  • use MARC Example style, normal paragraph, normal + bold

Added text to 5C3.1 and 5C4

  • 5C3.1: broadened optional General Rule for prints to allow for characteristics like physical support, not just method of printing (to parallel drawing rule)
  • 5C4: added "1 painting : on vellum" as example

Added “or logical” to 5B1.1 to cover digital files

  • Record extent as an arabic numeral indicating the number of physical or logical units issued.

Series

  • “new” ISBD Consolidated 2010 we got in advance from John Hostage has a different heading, i.e. allows set titles; EB will ask John Hostage what the status is, since the 2007 Preliminary ISBD Consolidated is still what’s on the website [Update: Mary found 2010 “draft” on website, and determined that it was final text, just not yet published]

Blanks in the original

  • Confirmed that 0G6.4 works for Mary’s example of a title where the blank isn’t because it’s a form to be filled in, but is because the photographer meant to go back and fill in the rest after looking something up, but never did

Other updates

  • Lenore will send Analytics draft on Saturday to us and to Cartography group
  • Minimal level appendix: Helena and Marcy are working on it, seeing how DACS requirements are handled

Bonus note

  • Thomas Mann already has his gravestone for Congressional Cemetery designed, and it looks like a catalog card, complete with hole at the bottom.
Provide information about the specific method of printing, the support, or other physical characteristics.
